Job Description for Medical Clinic Receptionist
The Medical Clinic Receptionist is the first point of contact for our patients. This individual will play a crucial role in managing front-desk operations, handling administrative duties, and facilitating effective communication between patients and medical staff. As the face of our clinic, the ideal candidate must be warm, approachable, and able to handle multiple responsibilities efficiently.
This position is well-suited for individuals with excellent communication skills, a strong sense of organization, and a passion for providing outstanding patient care. No prior experience is required; however, familiarity with medical office administration will be considered an asset.
Languages Required
Primary Language: English
Asset Languages: Mandarin, Cantonese (preferred but not mandatory)
Education and Experience Requirements
Minimum Education: No degree, certificate, or diploma required
Experience Required: Experience is an asset but not mandatory. Training will be provided.
Work Environment
This position is strictly on-site at our Thornhill, ON location. Remote work is not available for this role. The work environment is fast-paced yet highly supportive, where teamwork and attention to detail are highly valued.
Key Responsibilities for Medical Clinic Receptionist
Front Desk & Patient Interaction
- Greet and welcome patients in a friendly and professional manner.
- Register new patients and update existing patient information.
- Answer telephone calls, schedule appointments, and handle inquiries efficiently.
- Provide accurate information regarding clinic services, policies, and procedures.
Administrative & Clerical Support
- Manage appointment scheduling, rescheduling, and cancellations.
- Maintain and organize medical records and patient files.
- Process billing, invoices, and insurance paperwork as needed.
- Ensure medical forms, reports, and documents are properly completed.
- Handle incoming and outgoing mail, faxes, and emails.
Office Coordination & Support
- Assist doctors, nurses, and healthcare staff with administrative tasks.
- Maintain the cleanliness and organization of the reception area.
- Monitor office supplies and order replacements as necessary.
- Ensure compliance with clinic policies and confidentiality regulations.
Technical & Data Management
- Operate and update electronic medical records (EMR) systems.
- Manage patient databases with accuracy and efficiency.
- Assist in compiling reports, statistics, and other required documentation.
Skills & Competencies Required
Technical Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Familiarity with Electronic Medical Records (EMR) systems is an asset.
- Ability to operate office equipment such as scanners, printers, and fax machines.

- Strong Communication Skills: Ability to interact professionally with patients, healthcare providers, and staff.
