Job Description

The Administrative Assistant will play a vital role in supporting the daily operations of our office. This position requires a detail-oriented and highly organized professional who can handle multiple administrative tasks efficiently. The ideal candidate will be responsible for scheduling, correspondence, maintaining records, and coordinating office activities.

Work Environment

This position is strictly on-site and requires work to be performed at our North York, ON office. Remote work options are not available for this role. The work environment is dynamic, fast-paced, and requires a high level of organization and attention to detail.

Key Responsibilities

Office Administration & Coordination

  • Arrange and coordinate seminars, conferences, and office meetings.
  • Open, sort, and distribute incoming mail and electronic communications.
  • Maintain manual and computerized filing systems for record-keeping and reference purposes.
  • Order and maintain an inventory of office supplies, ensuring the office remains well-equipped.
  • Type and proofread correspondence, forms, and various business documents.

Communication & Client Interaction

  • Greet visitors, clients, and partners, directing them to appropriate service areas.
  • Answer telephone calls, relay messages, and handle electronic inquiries promptly.
  • Schedule and confirm appointments for executives and staff members.
  • Assist in drafting business correspondence, reports, and official documentation.

Team Support & Supervision

  • Train and supervise other administrative workers as needed.
  • Support team members by organizing workflow and office procedures to ensure smooth operations.
  • Record minutes during meetings, ensuring key points and action items are accurately documented.

Data Management & Reporting

  • Compile, analyze, and present data, statistics, and relevant reports for internal and external use.
  • Assist in creating charts, tables, and graphs to support office reporting needs.
  • Manage and update databases, ensuring data integrity and confidentiality.

Skills & Expertise Required

Technical Skills

  • Proficiency in Google Docs, Microsoft Publisher, MS Office Suite (Word, Excel, PowerPoint, Access).
  • Familiarity with business correspondence, report writing, and documentation.
  • Ability to prepare charts, tables, graphs, and diagrams to support administrative functions.
